What should a handyman invoice include?
A handyman invoice should list each task completed on the visit, how it was priced (by the hour or a flat rate), the materials you bought for the job, any trip or minimum charge, and the total due, usually on completion. Noting anything left unfinished makes the next visit easy to book and avoids paying disputes.
- Each task completed
- One line per task, so the customer sees exactly what was done on the visit.
- Hourly or flat rate
- Whether each task was billed by the hour or at a set price.
- Materials purchased
- Parts and supplies you bought for the job, ideally with receipts available.
- Trip or minimum charge
- Any charge for coming out or a minimum visit length, stated clearly.
- Unfinished work
- Anything left for another visit, such as a part that needs ordering.
- When payment is due
- Many handyman visits are paid on completion; say so, and how the customer can pay.
Handyman invoice example
Example only Here is a filled-in example for a half-day visit: mounting a TV, fixing a running toilet, replacing two light fixtures and patching a drywall hole, with parts bought on the way. The customer pays on completion. The prices are made up for illustration only — your rates will differ.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| TV mounted on drywall with customer's bracket | 1 ea | $95.00 | $95.00 |
| Running toilet repaired – flapper and fill valve | 1 ea | $85.00 | $85.00 |
| Light fixtures replaced (customer-supplied fixtures) | 2 ea | $65.00 | $130.00 |
| Drywall hole patched and painted | 1 ea | $75.00 | $75.00 |
| Parts purchased – fill valve, flapper, wire nuts | 1 lot | $46.80 | $46.80 |
| Subtotal | $431.80 | ||
| Sales tax (0%) | $0.00 | ||
| Total | $431.80 | ||
Sales tax is left at 0% in this example because what is taxable depends on your state. Check with your state's department of revenue before adding tax.
Tips for a better handyman invoice
- Write it up before you leaveFinishing the invoice in the driveway, while the customer is still there, is the easiest way to get paid the same day.
- State your minimum and trip chargeIf you charge a minimum visit or a trip fee, put it on its own line so a short visit doesn't look overpriced.
- Keep material receiptsBilling parts as a separate line, with receipts available, shows you aren't marking up hidden costs.
- Note what's leftA line about the task that needs a part or a second visit turns an awkward conversation into the next booking.
- Let them pay on the spotAdd your payment link: the invoice shows a QR code the customer can scan to pay you before you drive away.
How we built and tested this
This handyman invoice template was written from scratch for its job and is checked by automated tests every time the site changes. Here is what it is based on and how the math is tested.
- Written for this template. The 4 extra fields, the 2 starter lines and the 21-item list of common items were written for this handyman invoice template, not copied from another website.
- Exact math, tested automatically. All money is calculated in whole cents, so there are no rounding errors, in a fixed order: subtotal, discount, tax on the discounted amount, total, deposit, then balance due. The site has 72 automated tests, 33 of them for the calculation engine, and they run on every change.
- Honest examples. The example above uses made-up prices, labelled as an example, and its totals are calculated by the same code as the tool.
- No legal or tax rules stated as fact. Where rules depend on your state or country, the page says so and points to the official body to check.

Frequently asked questions
Is this handyman invoice template free?
Yes. You can create, download and share handyman invoices as PDF, Word or Excel for free, with no sign-up and no watermark.
Can I give the customer the invoice before I leave?
Yes. Download the PDF on your phone and text or email it, use "Share PDF" where your phone supports it, or print it if you carry a printer.
How do I bill materials I bought for the job?
Add the parts as their own line, or one line per item, at what you paid or the price you agreed. Keep the receipts in case the customer asks.
Should a minimum charge be on the invoice?
If you charge one, yes. Show it on its own line or in the job fields so the customer understands the total for a short visit.
Can I turn a handyman work order into an invoice?
Yes. On the handyman work order template, click "Convert to invoice". The customer, tasks and notes on what was finished carry over to this invoice.
Do handymen have to charge sales tax?
It depends on your state and on what you sell, such as labor or parts. Check with your state's department of revenue. If you need to charge it, enter the rate and untick "Charge tax on this line" on lines that aren't taxable.
How do I send the invoice to my customer?
Download the PDF and attach it to an email or a text message. On phones that support it, the "Share PDF" button that appears after the download sends the file straight to Messages, WhatsApp or email. Either way the file goes from your device to the app you choose, not through our servers.
Is my information safe? Is anything uploaded?
Nothing you type is uploaded. Your invoice is filled in and turned into a PDF, Word or Excel file in your browser, on your own device, so your customer details, prices and logo never reach our servers or anyone else. Your draft, the documents in "My documents" and, if you tick "Remember my business details", your business details are saved only in this browser, and clearing your browser data removes them. The site's analytics and ads count visits and downloads but never include what you type. On a shared computer, delete your documents from "My documents" when you are done. The privacy policy has the details.
