How to use this invoice template
- Enter your business details and how customers can pay you. If you priced the job with our roofing estimate template, its "Convert to invoice" button carries the customer, squares, materials and deposit over.
- Check every line against the finished roof: update the squares if the measured roof changed, and add any extra decking or repairs the homeowner approved during tear-off.
- Enter the deposit already paid so the invoice shows the balance due, and pick the payment terms.
- Add the completion date, permit or inspection number and warranty in the job fields, plus before-and-after photos if you have them.
- Download the invoice as a PDF, Word or Excel file, or share the PDF straight from your phone.
What should a roofing invoice include?
A roofing invoice should tie the final bill back to the approved estimate: the roof size in squares, the material installed, every extra the homeowner approved during the job such as replaced decking, the deposit already paid, the balance due and when it is due. Adding the completion date, permit or inspection number and warranty gives the homeowner one document to keep with their house records.
- Approved estimate number
- The estimate or contract this invoice bills, so the homeowner can compare it line by line.
- Squares and material installed
- The final roof size in squares and the product, line and color that went on the roof.
- Extras found during tear-off
- Replaced decking sheets, an extra layer or rotted fascia, each as its own line with the quantity and the rate agreed in the estimate.
- Change orders
- Added work the homeowner approved, such as new ridge vents or gutters, with the change order number.
- Deposit and earlier payments
- Every payment already received, so the balance due is easy to check.
- Completion date and permit
- When the roof was finished and, where a permit was needed, the permit or final inspection number.
- Warranty
- Your workmanship warranty and the manufacturer warranty, and who registers the manufacturer warranty.
Roofing invoice example
Example only Here is a filled-in example for a 24-square asphalt shingle replacement where tear-off uncovered six sheets of rotted decking, which the homeowner approved at the per-sheet rate in the estimate. A 30% deposit was paid when the job was booked. The prices are made up for illustration only — your rates and material costs will differ.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Roof replacement as estimated – architectural shingles, underlayment and flashing | 24 square | $435.00 | $10,440.00 |
| Additional decking replaced, 7/16 in. OSB (approved during tear-off) | 6 sheet | $85.00 | $510.00 |
| Pipe boots replaced | 3 ea | $45.00 | $135.00 |
| Dumpster and disposal | 1 load | $450.00 | $450.00 |
| Subtotal | $11,535.00 | ||
| Sales tax (0%) | $0.00 | ||
| Total | $11,535.00 | ||
| Deposit paid (30%) | $3,460.50 | ||
| Balance due | $8,074.50 | ||
Sales tax is left at 0% in this example because what is taxable depends on your state. Check with your state's department of revenue before adding tax.
Tips for a better roofing invoice
- Bill decking at the rate you agreedIf the estimate set a price per sheet of replaced decking, use the same rate and the actual count on the invoice. The homeowner already agreed to it.
- Photograph what you foundAdd before-and-after photos of rotted decking or damaged flashing with the job photos option. They answer questions before the homeowner asks them.
- Match the measured roofIf the final measurement differs from the estimate, show the new square count rather than quietly changing the price.
- Put the warranty on the invoiceWriting the workmanship warranty and the shingle product on the invoice gives the homeowner one document to keep.
- Ask what an insurer needsWhen a homeowner's insurer is paying part of the job, ask the homeowner what the insurer wants on the invoice, such as a claim number, and add it as your own field.
How we built and tested this
This roofing invoice template was written from scratch for its job and is checked by automated tests every time the site changes. Here is what it is based on and how the math is tested.
- Written for this template. The 6 extra fields, the 3 starter lines and the 20-item list of common items were written for this roofing invoice template, not copied from another website.
- Exact math, tested automatically. All money is calculated in whole cents, so there are no rounding errors, in a fixed order: subtotal, discount, tax on the discounted amount, total, deposit, then balance due. The site has 72 automated tests, 33 of them for the calculation engine, and they run on every change.
- Honest examples. The example above uses made-up prices, labelled as an example, and its totals are calculated by the same code as the tool.
- No legal or tax rules stated as fact. Where rules depend on your state or country, the page says so and points to the official body to check.

Frequently asked questions
Is this roofing invoice template free?
Yes. You can create and download roofing invoices as PDF, Word or Excel for free, with no sign-up and no watermark.
How do I bill extra decking found during tear-off?
Add it as its own line with the number of sheets and the per-sheet rate from your estimate, and mention it in the notes. Itemized extras the homeowner agreed to in advance are much easier for them to accept.
Should a roofing invoice show the number of squares?
Yes. The final squares and the rate per square let the homeowner check the total against the estimate. If the measured roof changed, the invoice shows why the price did.
Can I add an insurance claim number?
Yes. Use "+ Add your own field" to add a claim number, adjuster name or any other detail the homeowner or their insurer asks for. It prints with the other job details.
How do I bill a roof in stages?
Send an invoice for each stage agreed in the contract, for example when materials are delivered and when the roof is finished, and say what each payment covers. The final invoice should list every payment already received.
Can I include the warranty on the invoice?
Yes. Enter it in the Warranty field. Many roofers list their own workmanship warranty and the manufacturer's product warranty, and say who registers the manufacturer warranty.
How do I send the invoice to my customer?
Download the PDF and attach it to an email or a text message. On phones that support it, the "Share PDF" button that appears after the download sends the file straight to Messages, WhatsApp or email. Either way the file goes from your device to the app you choose, not through our servers.
Is my information safe? Is anything uploaded?
Nothing you type is uploaded. Your invoice is filled in and turned into a PDF, Word or Excel file in your browser, on your own device, so your customer details, prices and logo never reach our servers or anyone else. Your draft, the documents in "My documents" and, if you tick "Remember my business details", your business details are saved only in this browser, and clearing your browser data removes them. The site's analytics and ads count visits and downloads but never include what you type. On a shared computer, delete your documents from "My documents" when you are done. The privacy policy has the details.
