Work order, estimate or invoice?

An estimate prices a job before the customer agrees to it. A work order authorizes and records the job itself — what was requested, who did it and what was used. An invoice asks for payment afterwards. Every work order template here can be converted to an invoice when the job is done.

What every work order should include

A work order is most useful when it's complete enough to answer questions months later.

  • A work order number and the date issued
  • The customer or requester and the service location
  • The work requested and its priority
  • Who is assigned and when it's scheduled
  • Work performed, parts, materials and labor
  • Completion date and the customer's sign-off

Step-by-step guide

What is a work order?: A work order is a document that authorizes and records a job. What a work order is, how it differs from an estimate and invoice, and what to include.
