- After the visit, record what was done and anything left unfinished, and get the customer's signature.
- Download the work order as a PDF, Word or Excel file, or convert it to an invoice.
What should a handyman work order include?
A handyman work order should list every task on the customer's to-do list as its own line, with the time or flat price for each, who supplies the materials, any trip or minimum charge, and a sign-off when the tasks are done. Itemizing small jobs shows the customer exactly where their money went and makes any unfinished task obvious.
- Task-by-task list
- Each job — mount TV, patch drywall, re-caulk tub — as a separate line.
- Pricing method
- Hourly, flat rate per task, or a mix, stated clearly.
- Materials and who supplies them
- What you bought (with the cost) and what the customer provided.
- Trip and minimum charges
- Any visit fee or minimum, so short jobs don't surprise anyone.
- Time on site
- Hours worked, if you bill hourly.
- Access and parking
- How to get in and where to park.
- Work not completed
- Anything you couldn't finish and why, such as a missing part.
- Customer sign-off
- Signature and date when the tasks are done.
Handyman work order example
Example only Here is a filled-in example for a half-day visit with five tasks from a homeowner's to-do list, using a mix of flat-rate tasks and materials bought on the way. The prices are made up for illustration only — your rates will differ.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Mount 55 in. TV on drywall (customer's bracket) | 1 ea | $95.00 | $95.00 |
| Assemble bookcase | 1 ea | $60.00 | $60.00 |
| Patch doorknob holes in drywall | 2 ea | $45.00 | $90.00 |
| Re-caulk main bathtub | 1 ea | $85.00 | $85.00 |
| Replace toilet flapper | 1 ea | $40.00 | $40.00 |
| Trip charge | 1 trip | $25.00 | $25.00 |
| Materials: patch kit, caulk, flapper | 1 lot | $32.80 | $32.80 |
| Subtotal | $427.80 | ||
| Sales tax (0%) | $0.00 | ||
| Total | $427.80 | ||
Sales tax is left at 0% in this example because whether handyman labor and materials is taxable depends on your state. Check with your state's department of revenue before adding tax.
Tips for a better handyman work order
- Give each task its own lineCustomers happily pay for five clear tasks; they question one big "handyman services" total.
- Be upfront about minimumsState your minimum charge or trip fee on the work order before you start, not after.
- Note customer-supplied partsWhen the customer buys the part, say so. If the part fails, it's covered by its maker, not by you.
- Write down what wasn't doneIf a task needs a part or a second visit, list it. It's the start of your next work order.
- Know your limitsSome states limit the size or type of job a handyman can take on without a contractor's license, and electrical, plumbing and gas work often needs a licensed trade. Check your state's rules.
How we built and tested this
This handyman work order template was written from scratch for its job and is checked by automated tests every time the site changes. Here is what it is based on and how the math is tested.
- Written for this template. The 7 extra fields, the 3 starter lines and the 25-item list of common items were written for this handyman work order template, not copied from another website.
- Exact math, tested automatically. All money is calculated in whole cents, so there are no rounding errors, in a fixed order: subtotal, discount, tax on the discounted amount, then total. The site has 72 automated tests, 33 of them for the calculation engine, and they run on every change.
- Honest examples. The example above uses made-up prices, labelled as an example, and its totals are calculated by the same code as the tool.
- No legal or tax rules stated as fact. Where rules depend on your state or country, the page says so and points to the official body to check.

Frequently asked questions
Is this handyman work order template free?
Yes. Make handyman work orders and download them as PDF, Word or Excel for free, with no sign-up. Everything you type stays in your browser.
How should a handyman price small jobs?
Use either an hourly rate with a minimum, or a flat price per task — whichever you can quote confidently. List the method on the work order and keep each task on its own line.
Should a handyman charge a trip fee?
That's a business decision. If you charge one, show it as its own line so the customer sees it's a visit fee, separate from the work.
What if the customer supplies the materials?
Note it on the work order and in your terms. You're responsible for the installation; the part itself is covered by its manufacturer's warranty.
Can a handyman do electrical or plumbing work?
It depends on your state and sometimes your city. Many places require a licensed electrician or plumber for anything beyond minor repairs, so check your state's licensing board before taking on that kind of work.
Can I turn the work order into an invoice?
Yes. Click "Convert to invoice" and every task and charge carries over to an invoice.
Should I charge a flat price or by the hour?
Either works. Flat prices suit tasks you can predict, and hourly suits jobs with unknowns. Say which one applies on each line, and state your minimum charge if you have one.
What if I can't finish everything on the list?
Write what was done and what is left in "Work performed and anything not finished", then price the rest as a separate visit. The customer signs off on the finished work only.
How do I send the work order to my customer?
Download the PDF and attach it to an email or a text message. On phones that support it, the "Share PDF" button that appears after the download sends the file straight to Messages, WhatsApp or email. Either way the file goes from your device to the app you choose, not through our servers.
Is my information safe? Is anything uploaded?
Nothing you type is uploaded. Your work order is filled in and turned into a PDF, Word or Excel file in your browser, on your own device, so your customer details, prices and logo never reach our servers or anyone else. Your draft, the documents in "My documents" and, if you tick "Remember my business details", your business details are saved only in this browser, and clearing your browser data removes them. The site's analytics and ads count visits and downloads but never include what you type. On a shared computer, delete your documents from "My documents" when you are done. The privacy policy has the details.
