When should you use a purchase order?

Use a purchase order whenever you want a written record of what you ordered, at what price, and where and when it should arrive — especially for large material orders, special-order items, or orders delivered to a job site. The PO number then ties the vendor's delivery ticket and invoice back to your order.

Purchase order vs. invoice

A purchase order is sent by the buyer before delivery to order goods. An invoice is sent by the seller afterwards to ask for payment, and usually quotes the buyer's PO number. Checking the invoice against the PO and the delivery ticket before paying catches wrong quantities and prices.

Step-by-step guide

What is a purchase order?: A purchase order is the buyer's written order to a vendor. What a PO includes, how it fits with invoices, and simple PO numbering systems for small businesses.
