        1. Fill in your business details, the customer, line items, tax and payment terms here — the totals are calculated for you.
        2. Click "Google Docs". A Word (.docx) file downloads and the steps for Google Docs appear.
        3. Go to drive.google.com, click New → File upload and choose the file.
        4. Right-click the file in Drive and choose Open with → Google Docs to edit or share it.
        5. To send it, use File → Download → PDF Document in Google Docs, or download a PDF straight from this page.

What should an invoice in Google Docs include?

An invoice in Google Docs needs the same parts as any professional invoice — invoice number, dates, your details, the customer, line items, totals, payment terms and how to pay. Because Google Docs tables don't calculate, it also needs totals you trust: do the math here before you open the file in Docs, and recheck the totals after any edit.

        Invoice number and dates
A unique number plus the invoice date and the due date or payment terms.
        Your details and logo
Business name, contact details and logo at the top of the page.
        Customer details
Who you are billing, with their address or account number.
        Line items table
Description, quantity, rate and amount in a table you can extend in Docs.
        Totals you've checked
Subtotal, discount, tax and total. Docs won't recalculate them if you change a quantity, so recheck after editing.
        Payment terms and details
When payment is due and how to pay you.
        A clear file name
For example "INV-0012 Smith.docx", so invoices are easy to find in Drive.
        A PDF copy to send
Customers should get a PDF, not an editable Docs link.

        Google Docs invoice example

Example only Here is a filled-in example for an appliance repair business invoicing a dishwasher repair, ready to download and open in Google Docs. The prices are made up for illustration only — your rates and part costs will differ.

        Example line items and totals
        DescriptionQtyRateAmount
        Service call and diagnosis1 visit$95.00$95.00
        Labor – replace dishwasher drain pump1.5 hr$85.00$127.50
        Drain pump (replacement part)1 ea$64.90$64.90
        Inlet hose1 ea$18.50$18.50
        Subtotal$305.90
        Sales tax (0%)$0.00
        Total$305.90

Sales tax is left at 0% in this example because whether repair labor and parts is taxable depends on your state. Check with your state's department of revenue before adding tax.

Tips for invoicing with Google Docs

        • Keep a master copy in DriveUpload one finished invoice, then use File → Make a copy in Google Docs for each new invoice so your layout stays the same.
        • Change numbers here, not in DocsGoogle Docs tables don't add up. If quantities or prices change, update them here and download again so the totals stay correct.
        • Send a PDF, not an edit linkSharing the Docs file lets the customer change it. Download a PDF and attach that to your email instead.
        • Name files the same way every timeStart every file name with the invoice number. Drive search will find any invoice in seconds.
        • Want formulas? Use Google SheetsDownload the Excel version, upload it to Drive and open it with Google Sheets — the totals keep working as formulas.

How we built and tested this

This invoice template for google docs was written from scratch for its job and is checked by automated tests every time the site changes. Here is what it is based on and how the math is tested.

        • Written for this template. The 2 extra fields, the 2 starter lines and the 16-item list of common items were written for this invoice template for google docs, not copied from another website.
        • Exact math, tested automatically. All money is calculated in whole cents, so there are no rounding errors, in a fixed order: subtotal, discount, tax on the discounted amount, total, deposit, then balance due. The site has 72 automated tests, 33 of them for the calculation engine, and they run on every change.
        • Honest examples. The example above uses made-up prices, labelled as an example, and its totals are calculated by the same code as the tool.
        • No legal or tax rules stated as fact. Where rules depend on your state or country, the page says so and points to the official body to check.

        Frequently asked questions

Is there a free invoice template for Google Docs?

Yes. Fill in this free invoice template, click "Google Docs" to download a Word file, then upload it to Google Drive and open it with Google Docs. There's no sign-up and no watermark.

How do I open the invoice in Google Docs?

Go to drive.google.com, click New → File upload and choose the downloaded .docx file. Then right-click it and choose Open with → Google Docs.

Will the totals update automatically in Google Docs?

No. Google Docs tables don't do calculations, so totals won't change if you edit a quantity there. Make changes here and download again, or use the Excel download in Google Sheets, where the totals are live formulas.

How do I send a Google Docs invoice as a PDF?

In Google Docs, choose File → Download → PDF Document (.pdf), then attach the PDF to your email. You can also download the PDF directly from this page.

How do I reuse the invoice as a template in Google Drive?

Keep one finished invoice in Drive as your master, and for each new invoice open it and choose File → Make a copy, then change the number, customer and items.

Can I use it in Google Sheets instead?

Yes. Click Excel to download an .xlsx file, upload it to Google Drive and open it with Google Sheets. The amounts and totals stay as working formulas.

Does my invoice data go to Google?

Not from this site. The Word file is made on your device. If you upload it to Google Drive to open it in Google Docs, it is then stored in your Google account under Google's terms, like any file you upload there.

Will the formatting change in Google Docs?

Google Docs converts the Word file when you open it, so fonts and spacing can shift slightly. Check the invoice before you send it, and send it as a PDF with File → Download → PDF document so it looks the same for your client.

How do I send the invoice to my customer?

Download the PDF and attach it to an email or a text message. On phones that support it, the "Share PDF" button that appears after the download sends the file straight to Messages, WhatsApp or email. Either way the file goes from your device to the app you choose, not through our servers.

Is my information safe? Is anything uploaded?

Nothing you type is uploaded. Your invoice is filled in and turned into a PDF, Word or Excel file in your browser, on your own device, so your customer details, prices and logo never reach our servers or anyone else. Your draft, the documents in "My documents" and, if you tick "Remember my business details", your business details are saved only in this browser, and clearing your browser data removes them. The site's analytics and ads count visits and downloads but never include what you type. On a shared computer, delete your documents from "My documents" when you are done. The privacy policy has the details.
