How to use this estimate template

        1. Enter your business details, the customer and the address, then choose the type of cleaning, size, bedrooms, bathrooms and frequency.
        2. Add the base cleaning as one line, then add each extra — inside the oven, windows, baseboards — from the cleaning item list.
        3. Use the Notes box for your checklist of what's included in every visit.
        4. Add tax if it applies, a deposit for large one-time jobs, and your cancellation policy in the terms.
        5. Check the preview and download the cleaning estimate as a PDF, Word or Excel file.

What should a cleaning estimate include?

A cleaning estimate should state the type of cleaning, the size of the space (square feet, or bedrooms and bathrooms), a checklist of what each visit covers, any add-ons, and how often you'll clean, with the price per visit. Spelling out what's not included — the inside of the oven, windows, laundry — sets expectations before the first visit.

        Type of cleaning
Standard, deep, move-in/move-out, post-construction or commercial.
        Size of the space
Square footage, or the number of bedrooms and bathrooms.
        Checklist
Room-by-room list of what's cleaned on every visit.
        Add-ons
Extras such as inside the oven, inside the fridge, windows, blinds or baseboards, each with its own price.
        Frequency and price per visit
One-time, weekly, every two weeks or monthly, and the price for each visit.
        Supplies and equipment
Whether you bring products and equipment or use the customer's.
        Access and pets
How you get in, and any pets you'll work around.
        Cancellation policy
How much notice is needed to cancel or reschedule, and any lockout fee.

        Cleaning estimate example

Example only Here is a filled-in example for a move-out cleaning of an empty 3-bedroom, 2-bathroom home of about 1,600 sq ft, with the most common add-ons. The prices are made up for illustration only — your rates will differ.

        Example line items and totals
        DescriptionQtyRateAmount
        Move-out cleaning, 3 bed / 2 bath1 job$320.00$320.00
        Inside oven1 ea$45.00$45.00
        Inside refrigerator1 ea$40.00$40.00
Inside kitchen cabinets and drawers1 job$60.00$60.00
        Interior windows14 ea$6.00$84.00
        Blinds10 ea$8.00$80.00
        Baseboards, whole home1 job$55.00$55.00
        Subtotal$684.00
        Sales tax (0%)$0.00
        Total$684.00

Sales tax is left at 0% in this example because whether cleaning service is taxable depends on your state. Check with your state's department of revenue before adding tax.

Tips for a better cleaning estimate

        • Quote after a walkthrough or photosTwo homes with the same square footage can take very different times. Seeing the space first protects your hourly earnings.
        • Separate the base clean from extrasCustomers can see what the base price covers and add the extras they want, instead of haggling over one big number.
        • Price the first visit differentlyA first visit often needs deeper work than the visits after it. Quote the first clean and the recurring visit as separate lines.
        • Put the cancellation policy in the termsLast-minute cancellations cost you a slot. State the notice you need and any fee in writing.
        • Note pets and suppliesPet hair adds time, and some customers want specific products. Record both so every visit goes smoothly.

How we built and tested this

This cleaning estimate template was written from scratch for its job and is checked by automated tests every time the site changes. Here is what it is based on and how the math is tested.

        • Written for this template. The 7 extra fields, the 3 starter lines and the 25-item list of common items were written for this cleaning estimate template, not copied from another website.
        • Exact math, tested automatically. All money is calculated in whole cents, so there are no rounding errors, in a fixed order: subtotal, discount, tax on the discounted amount, total, deposit, then balance due. The site has 72 automated tests, 33 of them for the calculation engine, and they run on every change.
        • Honest examples. The example above uses made-up prices, labelled as an example, and its totals are calculated by the same code as the tool.
        • No legal or tax rules stated as fact. Where rules depend on your state or country, the page says so and points to the official body to check.

        Frequently asked questions

Is this cleaning estimate template free?

Yes. The cleaning estimate generator is free — create, download and print estimates without signing up. Everything you enter stays in your browser.

How do I price a house cleaning estimate?

Pick one method and show it clearly: a flat price based on bedrooms and bathrooms, a price per square foot, or an hourly rate with an estimated number of hours. Then add extras as separate lines so the customer sees exactly what they're paying for.

What's the difference between standard and deep cleaning on an estimate?

A standard clean covers routine surfaces, floors, kitchens and bathrooms. A deep clean adds detail work such as baseboards, door frames, inside appliances and built-up grime. List what's included in each so the customer can compare.

Should the first cleaning cost more than recurring visits?

It often makes sense, because a first visit usually takes longer to bring the home up to standard. Show the first visit and the recurring price as separate lines so the difference is clear.

How do I quote recurring cleaning?

Choose the frequency, give the price per visit, and list the checklist for each visit. If you offer a lower rate for more frequent visits, say so in the notes.

Can I use this for office or commercial cleaning?

Yes. Choose office or commercial as the type of cleaning, enter the square footage, and add lines such as restrooms, break rooms, trash removal and floor care.

What should a cleaning estimate say is not included?

List the things customers often assume are included, such as the inside of the oven or fridge, interior windows, walls, laundry, dishes or heavy clutter. Offer them as add-ons with their own price, so the visit matches what the customer expects.

Should I say who supplies the cleaning products?

Yes. Say whether you bring your own products and equipment or use the client's, and list any special products the client asks for as a separate line. It avoids surprises on the first visit.

How do I send the estimate to my customer?

Download the PDF and attach it to an email or a text message. On phones that support it, the "Share PDF" button that appears after the download sends the file straight to Messages, WhatsApp or email. Either way the file goes from your device to the app you choose, not through our servers.

Is my information safe? Is anything uploaded?

Nothing you type is uploaded. Your estimate is filled in and turned into a PDF, Word or Excel file in your browser, on your own device, so your customer details, prices and logo never reach our servers or anyone else. Your draft, the documents in "My documents" and, if you tick "Remember my business details", your business details are saved only in this browser, and clearing your browser data removes them. The site's analytics and ads count visits and downloads but never include what you type. On a shared computer, delete your documents from "My documents" when you are done. The privacy policy has the details.
